Modern Day Slavery Policy

​1. Policy Statement

1.1 Modern slavery is a crime and a severe violation of fundamental human rights. It manifests in various forms, including slavery, servitude, forced labor, and human trafficking. All these forms involve the deprivation of a person's freedom by another to exploit them for personal or commercial gain. At Ashley Cleaning Services Limited, we adopt a zero-tolerance stance towards modern slavery. We are dedicated to acting ethically and with integrity in all our business dealings and relationships. We are also committed to implementing and enforcing effective systems and controls to ensure that modern slavery does not occur within our business or supply chains.

1.2 We are dedicated to maintaining transparency within our business and in our efforts to combat modern slavery throughout our supply chains, in line with our disclosure obligations under the Modern Slavery Act 2015. We hold all our contractors, suppliers, and business partners to the same high standards we uphold. As part of our contracting processes, we explicitly prohibit the use of forced, compulsory, or trafficked labor, as well as any form of slavery or servitude, whether involving adults or children. We expect our suppliers to enforce these high standards with their own suppliers as well.

1.3 This policy is applicable to everyone working for us or on our behalf in any capacity. This includes employees at all levels, directors, officers, agency workers, seconded workers, volunteers, interns, agents, contractors, external consultants, third-party representatives, and business partners.

 

2. Responsibility for the policy

2.1 The company Director holds overall responsibility for ensuring that this policy aligns with our legal and ethical obligations, and that it is adhered to by everyone under our control.

2.2 The Senior Management Team is primarily responsible for the implementation of this policy on a day-to-day basis. This includes monitoring its use and effectiveness, addressing any queries related to it, and auditing internal control systems and procedures to ensure they effectively counter modern slavery.

2.3 Managers at all levels are responsible for ensuring that their team members understand and comply with this policy and are aware of the issue of modern slavery within supply chains.

 

3. Compliance with the policy

3.1 All staff are required to read, understand, and comply with this policy.

3.2 The responsibility for preventing, detecting, and reporting modern slavery within any part of our business or supply chains rests with everyone working for us or under our control. You must avoid any activities that could lead to or suggest a breach of this policy.

3.3 If you believe or suspect a conflict with this policy has occurred or may occur, you must notify your manager as soon as possible.

3.4 You are encouraged to raise concerns about any issue or suspicion of modern slavery in any part of our business or supply chains, regardless of the supplier tier, at the earliest opportunity.

3.5 If you believe or suspect a breach of this policy has occurred or might occur, you must inform your manager, a member of the Senior Management, and/or Human Resources immediately.

3.6 We aim to foster an environment of openness and will support anyone who raises genuine concerns in good faith under this policy, even if they turn out to be mistaken. We are committed to ensuring that no one suffers detrimental treatment as a result of reporting in good faith their suspicion that modern slavery, in any form, is or may be occurring within our business or supply chains. Detrimental treatment includes dismissal, disciplinary action, threats, or other unfavorable treatment related to raising a concern. If you believe you have experienced any such treatment, you should inform your manager and/or Human Resources immediately. If the matter is not resolved, and you are an employee, you should formally raise it using our Grievance Procedure.

 

4. Communication and awareness of this policy

4.1 Training on this policy, and the risks our business faces from modern slavery in its supply chains, is included in the induction process for all individuals who work for us.

4.2 Our zero-tolerance approach to modern slavery must be communicated to suppliers, contractors, and business partners at the beginning of our business relationship with them and reinforced as needed thereafter.

 

5. Breaches of this policy

5.1 Any employee found to be in breach of this policy will be subject to disciplinary action, which may result in dismissal for misconduct or gross misconduct.

5.2 We may terminate our relationship with any individuals or organizations working on our behalf if they breach this policy.

 

6. Compliance

6.1The prevention, detection, and reporting of modern slavery within any part of our business or supply chains is the responsibility of everyone working for us or under our control. Staff are encouraged to raise concerns about any issues or suspicions of modern slavery in any part of our business or supply chains, regardless of the supplier tier, at the earliest possible stage. If any staff believe or suspect a breach of this policy has occurred or might occur, they must notify their manager as soon as possible.

6.2 We aim to foster an environment of openness and will support anyone who raises genuine concerns in good faith under this policy, even if their concerns turn out to be mistaken. This Modern Slavery and Human Trafficking Policy will be regularly reviewed and updated as necessary.

The Company Directors endorse this policy statement and are fully committed to its implementation.
